Automated Emails let you set up messages that are sent to guests automatically at key points in their booking journey. From the moment a reservation is confirmed to the day after checkout, you can ensure every guest receives the right information at the right time -- without having to send each message manually.
What you can automate
With Automated Emails, you can create messages for every stage of the guest experience:
- Booking Confirmation -- Let the guest know their reservation is confirmed and share essential details.
- Payment Reminder -- Remind guests about upcoming or overdue payments.
- Pre-Arrival Information -- Send directions, parking info, or local tips a few days before check-in.
- Check-in Instructions -- Share access codes, key pickup details, or a link to your digital check-in form.
- Post-Checkout Follow-up -- Thank the guest for their stay, ask for a review, or share a discount for their next visit.
How it works
- Create a template -- Write the email content using the built-in editor. Use template variables like
andto personalize each message automatically. - Set up an automation rule -- Choose when the email should be sent (for example, "2 days before check-in") and which template to use.
- Let hejGuide handle the rest -- When a booking matches your rule, hejGuide queues the email and sends it at the right time.
You can review upcoming emails in the queue before they go out, and the log keeps a record of everything that has been sent.
