Creating Templates
Email templates define the content of your automated messages. You can create templates using the built-in WYSIWYG editor for a visual approach, or switch to HTML mode for full control over the layout. Each template includes a subject line and body, and you can use variable tags to personalize the content for every guest.
Creating a new template
- Go to Automated Emails in the sidebar.
- Navigate to the Templates section.
- Click Create Template.
- Enter a template name -- this is for your reference only (guests will not see it).
- Enter the subject line for the email.
- Write your email content in the editor.
- Click Save.
Using the WYSIWYG editor
The visual editor works like a standard text editor. You can:
- Format text -- Bold, italic, underline, headings, and text alignment.
- Add links -- Highlight text and click the link button to add a URL.
- Insert images -- Add images to your email for branding or visual instructions.
- Create lists -- Bulleted or numbered lists for structured information.
Using HTML mode
If you prefer to write your own HTML, switch to HTML mode in the editor toolbar. This gives you full control over the email layout and styling.
WARNING
When using HTML mode, keep in mind that email clients have limited CSS support. Stick to inline styles and simple table-based layouts for the best compatibility across email clients (Gmail, Outlook, Apple Mail, etc.).
Adding template variables
Template variables let you personalize emails automatically. Instead of writing "Dear Guest," you can use and hejGuide will insert the actual guest's name when the email is sent.
To insert a variable:
- Place your cursor where you want the variable to appear.
- Click the Insert Variable button (or type the variable tag directly).
- Select the variable from the list.

Previewing a template
Before saving, you can preview how the email will look:
- Click Preview in the template editor.
- The preview shows the email with sample data filled in for the variable tags.
- Review the layout, formatting, and content.
- Go back to editing if anything needs adjustment.
TIP
Always preview your template before activating an automation. This helps you catch formatting issues, missing variables, or awkward phrasing before a real guest receives the email.
Duplicating a template
If you want to create a variation of an existing template (for example, a different version for a specific listing), you can duplicate it:
- Open the template you want to copy.
- Click Duplicate.
- The new template opens with all the same content, ready for you to modify.
- Update the name, subject, or body as needed and save.
Assigning templates per listing
You can assign different templates to different listings. This is useful when your properties have different check-in procedures, house rules, or branding:
- Open the Guest Journey step or automation rule where the template is used.
- Use the listing-specific template assignment option to choose a different template for each listing.
