Booking Details

Every booking in hejGuide has a detail page that serves as the central hub for managing that reservation. Here you will find guest information, dates, charges, payments, and a complete timeline of all booking events.

Opening a booking

  • From the Calendar -- Click on any booking bar to open its detail page.
  • From the Booking List -- Go to Bookings in the sidebar and click on a booking in the list.

Guest information

The top of the booking detail page shows the guest's contact information:

  • Guest name -- The primary guest's full name.
  • Email address -- Used for sending check-in invites, payment links, and automated emails.
  • Phone number -- If provided during booking creation or check-in.

If the guest has completed the digital check-in form, their submitted details (ID information, arrival time, additional guests) are also available here.

Reservation details

The booking detail page displays all the key reservation information:

  • Listing -- Which property the booking is for.
  • Check-in date -- The guest's arrival date.
  • Check-out date -- The guest's departure date.
  • Number of nights -- Automatically calculated from the dates.
  • Number of guests -- How many people are staying.
  • Booking source -- Where the booking came from (direct, Booking.com, Airbnb, or another platform).
  • Status -- The current booking status (confirmed, cancelled, etc.).

TIP

The booking source is especially useful when you manage listings across multiple platforms. It tells you at a glance whether a booking was made directly or came through an OTA (Online Travel Agency).

Timeline

The timeline is a chronological log of everything that has happened with the booking:

  • When the booking was created.
  • When emails were sent (confirmation, check-in invite, payment link).
  • When payments were received or refunds processed.
  • When the booking was modified (date changes, guest info updates).
  • When check-in was completed by the guest.

The timeline gives you a complete audit trail without having to search through emails or notes.

Notes

The notes section lets you add internal notes that are visible only to you and your team. Guests cannot see these notes.

Use notes for:

  • Special requests from the guest ("Needs a baby crib", "Allergic to pets").
  • Internal reminders ("Guest is a returning customer", "Key handover at 3 PM with neighbor").
  • Communication logs ("Spoke with guest on phone, confirmed late arrival").

To add a note:

  1. Scroll to the Notes section on the booking detail page.
  2. Type your note in the text field.
  3. Click Save or Add Note.

Status indicators

Bookings can have the following statuses:

  • Confirmed -- Active reservation.
  • Cancelled -- The booking has been cancelled.
  • Checked in -- The guest has completed the check-in process.

WARNING

For bookings imported from Booking.com or Airbnb, some fields may be read-only. Changes to those bookings should be made on the original platform, where they will sync back to hejGuide.
