Managing Tasks
The task list is your central view for all work items across your properties. From here, you can create new tasks, filter by urgency or assignee, track progress, and complete or dismiss tasks when they are done.
Viewing your tasks
- Go to Tasks in the sidebar.
- You will see a list of all active tasks, showing the title, urgency level, assigned person, due date, and status.
Filtering tasks
Use the filters at the top of the task list to narrow down what you see:
- Urgency -- Filter by Low, Medium, High, or Urgent to focus on the most pressing items.
- Assigned person -- See tasks assigned to a specific team member, or view unassigned tasks that need attention.
- Status -- Show only pending, in-progress, or completed tasks.
- Type -- Filter by task type (Checklist, Reminder, Inspection, Maintenance, or Custom).
Creating a new task
- Go to Tasks in the sidebar.
- Click New Task.
- Fill in the task details:
- Title -- A short, clear description of what needs to be done (e.g., "Replace smoke detector batteries" or "Restock welcome basket").
- Description -- Optional. Add more detail about the task, including instructions or context.
- Urgency level -- Select Low, Medium, High, or Urgent.
- Task type -- Choose the type that best fits the task (see Task Types for details).
- Assign to -- Select a team member from the dropdown.
- Due date -- Set when the task should be completed by.
- Listing -- Optionally link the task to a specific listing.
- Click Save.
The task will appear in the task list and in the assigned team member's view.
Completing a task
When a task is finished:
- Open the task from the task list.
- Click Complete to mark it as done.
- Completed tasks are moved out of the active list to keep your view clean.
Dismissing a task
If a task is no longer relevant:
- Open the task.
- Click Dismiss to remove it from the active list without marking it as completed.
TIP
Review your task list at the start of each day. Use the urgency filter to focus on high-priority items first, and check for any unassigned tasks that need someone to take ownership.
Completed tasks cleanup
Completed tasks are automatically cleaned up over time to keep your task list manageable. If you need to review past tasks, you can use the status filter to show completed items before they are removed.
WARNING
Dismissed tasks cannot be recovered. Only dismiss a task if you are sure it is no longer needed. If you might need to revisit it, leave it in the pending state instead.
