Task Types

hejGuide supports several task types, each designed for a different kind of work. Choosing the right type helps you organize tasks effectively and ensures team members have the right fields and workflow for the job at hand.

Available task types

Checklist

A task with a list of checkable items. Ideal for structured work where you need to ensure every step is completed.

  • Use for: Property setup, seasonal preparations, pre-guest walkthroughs with multiple steps.
  • How it works: Add individual checklist items when creating the task. The assignee checks off each item as they complete it. The task can be marked as done once all items are checked.

Reminder

A simple notification task with no sub-items. Use reminders for things that just need to be remembered and acknowledged.

  • Use for: License renewals, insurance deadlines, scheduled calls with vendors, guest follow-ups.
  • How it works: The task appears in the assignee's task list with the due date. They can mark it as complete or dismiss it once handled.

Inspection

A property walkthrough task. Inspections are used to verify the condition of a property without necessarily performing a full cleaning.

  • Use for: Post-cleaning quality checks, pre-season property assessments, periodic condition reports.
  • How it works: The assignee visits the property, reviews its condition, and can add notes or photos to the task before completing it.

Maintenance

A repair or fix task. Maintenance tasks track work that needs to be done to keep the property in good condition.

  • Use for: Appliance repairs, plumbing fixes, painting, furniture replacement, garden maintenance.
  • How it works: Describe the issue and what needs to be fixed. Assign it to a maintenance person or contractor. Track progress from pending through to completion.

Custom

A general-purpose task type for anything that does not fit the other categories.

  • Use for: Guest requests, one-off errands, administrative tasks, supply runs, or anything else.
  • How it works: Create the task with a title, description, and due date. No special fields -- just a flexible task to track completion.

TIP

When in doubt, use the Custom type. It is the most flexible and works for any situation. Use the specialized types when their specific features (like checklist items for the Checklist type) add clear value.

Changing a task's type

You can change a task's type after creation:

  1. Open the task from the task list.
  2. Change the Task type field to the desired type.
  3. Click Save.

WARNING

Changing a task type may affect its available fields. For example, switching from a Checklist task to a Reminder will remove any checklist items. Make sure this is intentional before saving.
