Workspace — General
Workspace → General (/account-settings) holds the settings that apply to your whole workspace: how it is named, the currency you sell in, and how VAT is calculated.
Account name and image
The name and image are what you recognise this workspace by in the account switcher — handy when you manage more than one workspace, or when you co-host for someone else.
Currency
The currency is used everywhere: rates, products, invoices and reports.
Once a property is connected to the Channel Manager, the currency is locked. That is not a hejGuide restriction: the currency is an attribute of the property on the channel's side, and changing it would invalidate the rates already published to Booking.com and Airbnb. Disconnect the property first if you really need to change it.
TIP
Never had a currency set and still connected? Then you can still choose one — the field only locks after a currency has actually been stored.
Rental type
- Private — you do not charge VAT. The VAT settings stay hidden.
- Business — you can charge VAT on products and on the accommodation price.
Switching to Business turns VAT on and seeds the standard rates for your country. You can switch it back off before saving if you fall under a small business scheme.
Calculate VAT
The switch decides whether hejGuide applies VAT to products, charges and invoices. Two settings sit underneath it:
- Prices are inclusive / exclusive — inclusive means guests see one price with the tax already inside; exclusive adds it at checkout. Changing this reprices every existing product and accommodation price, so hejGuide asks for confirmation first.
- VAT rates — the rates you can pick from, plus which rate applies by default to products and to the accommodation.
What is sent to your channels
This is the part that surprises people, so it is worth being precise. When a property is connected to the Channel Manager, hejGuide keeps a tax set on that property with:
- your default accommodation VAT rate — as a percentage tax, marked inclusive or exclusive according to the setting above;
- your mandatory products (cleaning, linen and the like) — as fees, in your workspace currency;
- listing-level taxes such as tourist tax.
Two things do not work the way you might expect:
- The default product VAT rate is not sent as its own line. It only travels along with a mandatory product that carries that rate.
- Airbnb ignores the tax set. Airbnb receives your mandatory products as standard fees; its own tax and pass-through settings stay exactly as you set them in Airbnb. So a VAT change here reaches Booking.com and other channels, but not Airbnb.
Changes are pushed as soon as you save, and a nightly sync repairs anything that did not get through.
WARNING
Deleting a VAT rate is blocked while a property is connected to the Channel Manager — the rate may still be attached to rates that are live on a channel. Switch the default to another rate first.
